Penske is searching for an experienced, reliable and creative Recruiting Coordinator / Administrative Assistant. The role will work with our staffing leadership and provide administrative support to our recruiting team across the United States and Canada.

Work hours will primarily be 8:00 a.m. to 5:00 p.m. Occasionally, special projects or team event coordination may require some schedule variation.
-Coordinate and provide support for all aspects of the department administrative processes including meeting scheduling, mail distribution, team schedule/attendance reports, maintaining accurate phone lists, email distribution lists, and organization charts.
-Daily management the staffing voice-mail box, general email box, and recruitment vendor mailbox. Responding to inquiries of managers, candidates, and vendors regarding company processes or forwarding to the appropriate internal contacts.
-Serve as the primary backup for the company receptionist, including switchboard and front desk coverage
-Provide administrative support and coordination of Penske’s hiring training program. This includes working with field trainers and process manager to log training dates and class rosters in our learning management system, and following the established guidelines to send informational emails and pre-work to upcoming class participants.
-Oversee the processing and records retention of staffing department vendor invoices and pcard usage. Utilize relationships with the accounts payable department and other administrative staff to understand and follow established company processes.
-Ensures operation of office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
-Create and format ad hoc and routine reports, presentations, spreadsheet projects, etc. as requested. (Strong PowerPoint and graphics experience is a plus.)

-At least 3 years of administrative support experience supporting a team, department, or leadership where you’ve demonstrated a detailed oriented approach with timely follow-up.
-Minimum high school diploma; some college is helpful, as additional education provides broader perspectives, and provides additional functional expertise that can be applied on the job
- Professional demeanor with demonstrated customer service focus
-Expert proficiency in all frequently used business software programs, applications or tools (Word, Excel, PowerPoint, Visio, Access, internet usage) required
- Very strong interpersonal skills to communicate effectively both in writing and verbally; ability to draft correspondence on behalf of the supported leader.
-Past experience utilizing audio and visual conferencing equipment, including web-meeting software highly preferred.
- Ability to manage and maintain complex calendars and schedules and to navigate appointments
-The bi-lingual ability to read/write Spanish is preferred.
-Regular, predictable, full attendance is an essential function of the job
